VENDOR AGREEMENT TERMS & CONDITIONS

IMPORTANT: READ ALL TERMS CAREFULLY.


YOUR SIGNATURE ON THE CONTRACT INDICATES THAT YOU ACCEPT ALL TERMS OF THIS CONTRACT WITH PUA TAHITI PRODUCTIONS, DBA AS TAHITI FÊTE HAWAI‘I (“Management”) AND THE NEAL S. BLAISDELL CENTER (“Venue”).

MANAGEMENT WILL NOT BE RESPONSIBLE FOR ANY FEES, FINES, OR ISSUES RESULTING FROM FAILURE TO FOLLOW THESE POLICIES, INCLUDING FAILURE TO OBTAIN REQUIRED INSURANCE OR LICENSES.


1. APPLICATION FOR SPACE

All vendor applications are subject to approval by Management. Vendor spaces are assigned based on event needs and booth availability. Vendors may not sublet, share, or transfer space without written consent from Management.
Management reserves the right to refuse participation, relocate booths, or make adjustments as needed for public safety or event quality.
All booth fees are non-refundable and non-transferable once accepted.

2. PARKING

Vendors are responsible for all parking and loading/unloading fees at the Blaisdell Arena and Exhibition Hall. Overnight parking is not permitted. Parking passes and loading zone details will be issued prior to the event.

3. CHECK-IN & WRISTBANDS

All vendors must check in during designated load-in hours before setup. Vendor wristbands must be worn at all times for entry and identification. Up to three (3) wristbands per booth are provided. Additional bands may be purchased if available.
Vendors without a wristband will not be permitted inside during setup or show hours.

4. ANIMALS

Only approved service animals with proper identification are allowed inside the venue. No pets or other animals are permitted in vendor booths or food areas.

5. FORCE MAJEURE

Neither Pua Tahiti Productions nor the Venue shall be liable for any delay, cancellation, or nonperformance caused by events beyond their reasonable control, including but not limited to: acts of God, fire, flood, earthquakes, pandemics, civil unrest, government actions, or mechanical failure.
If such an event occurs, Management will make reasonable efforts to reschedule or adjust operations, but no refunds shall be issued.

6. GENERAL LIABILITY INSURANCE

All vendors are required to submit a Certificate of Insurance (COI) naming Pua Tahiti Productions, DBA as Tahiti Fête Hawai‘i and the City & County of Honolulu / Neal S. Blaisdell Center as additional insureds.
Minimum coverage requirements:

  • $1,000,000 per occurrence
  • $2,000,000 aggregate

Food vendors must additionally comply with Hawai‘i Department of Health requirements and maintain all applicable permits.
Failure to submit proof of insurance before the event start date may result in forfeiture of booth space without refund.

7. INDEMNIFICATION AND ASSUMPTION OF RISK

Vendor agrees to indemnify and hold harmless Management, its staff, volunteers, contractors, and the Venue from any claims, damages, losses, or injuries arising from participation in the event.
Vendor participates at their own risk and assumes full responsibility for their booth, products, employees, and setup.
Management shall not be responsible for theft, damage, or injury occurring during setup, show hours, or teardown.

8. SOLICITATIONS

No outside solicitation, sales, or distribution of materials outside the assigned booth area is permitted. All promotional activity must occur within your contracted booth space.

9. WITHDRAWAL / CANCELLATIONS

  • Full refunds are available only if written notice of withdrawal is received 8 weeks or more before the event.
  • Withdrawals made within 8 weeks of the event date will not be refunded.
  • Management reserves the right to reassign or fill any vacated booth space.
    All cancellations must be submitted in writing.

10. REASSIGNMENT

If a vendor has not checked in and begun setup by 9:00 AM on the scheduled setup day, Management reserves the right to reassign that booth space without refund.

11. LATE FEES / BALANCES

Outstanding balances must be paid in full prior to check-in. A $10.00 late fee applies per booth for overdue payments.
Deposits and discounts will be forfeited for unpaid balances after the cutoff date.

12. MEDIA & PROMOTION RELEASE

By participating, Vendor grants Pua Tahiti Productions, DBA as Tahiti Fête Hawai‘i, the right to use photographs, video, and other media taken during the event for promotional, educational, or archival purposes without additional consent or compensation.
Vendors may not use the event name or logo for promotional purposes without prior written approval.

GENERAL BOOTH RESTRICTIONS

All terms in this section must be agreed upon before booth confirmation.


SIGHT LINE RULE

To maintain visibility and aesthetics, all booth displays must comply with the designated height and line-of-sight guidelines as directed by Management.
Failure to comply may result in display modification or removal.


VENUE & SAFETY POLICIES

  • No helium balloons or open flames allowed.
  • All décor must be flame retardant or treated accordingly.
  • Booth materials (e.g., cardboard boxes, storage bins) must be kept out of public view.
  • Trash must be removed daily; no dumping in public aisles or restrooms.
  • No vehicles, handcarts, or dollies allowed on the show floor after opening hours (except mobility devices).
  • Bare metal tent frames are not allowed; all displays must appear finished.
  • Booth tables must be covered with skirting reaching ¾ to the floor. 
  • Carpeting/tape must meet Blaisdell inspection standards.
  • Forklift and electricity services must be pre-ordered through Blaisdell-approved contractors (e.g., ICES).
  • Management and Blaisdell staff may inspect booths before opening.

FOOD VENDORS

  • All food vendors must hold a Hawai‘i DOH Temporary Food Establishment Permit and display it prominently.
  • Vendors must provide fire extinguishers, non-expired propane tanks (if applicable), and comply with DOH sanitation standards.
  • Food preparation and sampling must occur only within the vendor’s assigned booth area.
  • Absolutely no dumping of grease, food waste, or gray water into venue drains, sinks, or restrooms.
  • Pre-packaged and ready-to-eat food is permitted; all on-site preparation must follow safety and fire codes.
  • Management reserves the right to restrict menu items to avoid excessive duplication of similar foods.

CRAFT VENDORS

  • Only items listed on your approved application may be sold.
  • No counterfeit, offensive, or culturally inappropriate merchandise will be allowed.
  • Handmade, Polynesian, Hawaiian & Tahitian cultural goods are strongly encouraged.
  • Vendors must comply with all Hawai‘i General Excise (GE) Tax requirements and display their GE license at the booth.
     

USE OF MICROPHONES, MUSIC, OR AMPLIFICATION

Music, drumming, or microphone use must be pre-approved by Management and kept within reasonable volume levels.
Sound that disrupts nearby vendors may result in removal of equipment or booth privileges.


LOAD-IN / LOAD-OUT POLICY

Vendors must adhere to assigned load-in and load-out times provided by Management. Early tear-downs are not permitted (however can be approved by management under extenuating circumstances).


PROHIBITED ACTIVITIES

  • No alcohol sales or sampling.
  • No raffles, gambling, or games of chance.
  • No subleasing or sharing booth space without written approval.
  • No sticker giveaways or placing stickers on venue property.

FINAL AUTHORITY

Management reserves the right to interpret, modify, or enforce these policies at its sole discretion to ensure safety, compliance, and the overall integrity of Tahiti Fête Hawai‘i.
